How to prepare before asking for a software quote
Get a faster, more accurate quote for your website, app or custom software by preparing these six things before you contact a software house.
The clearer your request, the more accurate your quote — and the fewer surprises later. Before you contact any software house, spend 20 minutes on these six points.
1. Describe the problem, not just the solution
“We need an app” is a starting point. “Our salesmen write orders on paper and the office re-types them every evening” tells a developer what actually needs to be solved — and they may suggest something simpler and cheaper than you expected.
2. List who will use it
Write down each type of user: owner, accountant, teachers, customers, delivery staff. Each group usually needs different screens and permissions, which affects the price.
3. Write your must-haves and nice-to-haves
Split features into two lists. Must-haves go into the first version; nice-to-haves can be added later. This keeps the first version affordable and gets you started sooner.
4. Collect examples
Screenshots of software you like, your current paper forms, spreadsheets and printed reports are all very helpful. They show exactly what information you work with.
5. Think about your data
Do you have existing records in Excel or old software that need to be moved? How many students, products or customers? Data import is often forgotten and can change the timeline.
6. Know your budget range and deadline
You don’t need an exact figure, but a range helps a good software house suggest the right approach — for example, a ready-made product with small changes instead of a fully custom build.
